Momentum Technology Services (“MTS,” “we,” “us,” or “our”) provides
AI infrastructure and related implementation services for dental
practices. This Privacy Policy explains how we collect, use, disclose,
retain, and protect information when you visit our website, contact us,
purchase or use our Services, or interact with us in another business
capacity.
This Privacy Policy is intended for website visitors, prospective
customers, customers, and authorized users of the Services. It should be
read together with our
Terms of Service.
If you are a patient of a dental practice that uses MTS, that
practice—not MTS—generally controls your patient relationship and is
responsible for its own privacy notices. Contact the practice directly
with patient privacy questions.
1. Information We Collect
1.1 Information You Provide
We may collect information you provide directly, including:
Name, job title, practice name, business address, email address, and telephone number
Information submitted through a contact form, consultation request, support request, or other communication
Account, billing, contract, and project information
Practice workflows, scheduling rules, escalation instructions, system details, and integration information
Information included in communications with MTS
Preferences and approvals relating to the Services
Please do not submit sensitive patient information through a website
form or other channel unless MTS has expressly approved that channel for
the intended use under the applicable agreement.
1.2 Information Collected Automatically
When you visit our website, we may collect limited technical and usage information, such as:
IP address and approximate location derived from it
Browser type, device type, operating system, and language
Pages viewed, referring pages, links clicked, and approximate visit times
Website performance, diagnostic, and security information
Cookie and similar-technology identifiers, where used

1.3 Information Processed for Dental-Practice Customers
When a dental practice uses MTS Services, the practice may direct MTS
to process information relating to its patients, staff, contacts,
appointments, communications, or operations. This information may
include names, contact details, appointment information, scheduling
preferences, insurance-related administrative information, balances,
treatment-plan follow-up information, call or message content, and other
information selected by the practice.
The dental practice determines what information is provided to MTS,
why it is processed, how long it is retained, and what notices or
consents are required. MTS processes this information to provide the
Services on the practice’s behalf and according to the practice’s
documented instructions and applicable agreements.
2. How We Use Information
We may use information to:
Provide, configure, deploy, maintain, secure, and support the Services
Conduct workflow discovery, design, development, testing, and integration work
Respond to inquiries, support requests, and communications
Manage contracts, billing, account administration, and business relationships
Send service-related notices and administrative communications
Detect, prevent, investigate, and respond to fraud, abuse, security incidents, and technical problems
Comply with legal obligations and enforce our agreements
Improve our website, Services, processes, and general technical performance
Create aggregated, de-identified, or non-identifying information for analysis and product improvement
We do not sell identifiable patient information. We do not use
identifiable patient information for advertising or unrelated commercial
purposes.
MTS does not use the AI agent to diagnose, treat, provide clinical
advice, make clinical decisions, determine medical necessity, handle
emergencies as a substitute for emergency services, or make final
clinical or insurance determinations.
3. Healthcare Information and HIPAA
MTS may provide technology and services to dental practices that are
subject to the Health Insurance Portability and Accountability Act
(“HIPAA”). Whether HIPAA applies to a particular activity depends on the
parties, the information, the Service configuration, and the applicable
law.
If MTS will create, receive, maintain, or transmit protected health
information on behalf of a dental-practice customer, MTS and that
customer will enter into a Business Associate Agreement (“BAA”) before
the applicable production use begins. The BAA governs the parties’
handling of protected health information. If this Privacy Policy
conflicts with a signed BAA or other data-processing agreement, the more
specific signed agreement controls.
This website is not intended to receive protected health information
through ordinary contact forms, general email, analytics tools, or other
unapproved channels. Do not use the website to submit medical details,
diagnoses, treatment information, insurance information, or other
patient information.
The dental practice remains responsible for its patient notices,
authorizations, consents, access controls, patient requests, use of the
Services, and compliance obligations. Patients should direct questions
about their records, appointments, treatment, or privacy rights to the
applicable dental practice.
4. Call Recording, Voice Data, and Biometrics
MTS will not collect, create, store, or use voiceprints, biometric
identifiers, or biometric information through the Services unless that
activity is expressly included in the applicable written scope and the
required notices, consents, retention rules, deletion procedures, and
safeguards have been approved.
Call recording, transcription, voice analysis, and automated
communications may be subject to federal and state requirements,
including requirements that vary by the location of participants. The
dental-practice customer is responsible for determining what notices,
announcements, consents, opt-outs, and disclosures are required for its
calls and messages. MTS will carry out the approved technical
configuration and will not knowingly configure a workflow to disregard a
required consent or opt-out instruction supplied by the customer.
A BAA or customer approval of an AI deployment does not automatically
authorize call recording, voice authentication, voiceprint creation, or
biometric processing.
5. How We Share Information
We may disclose information:
To service providers and subcontractors that help us host, secure,
maintain, communicate through, support, or improve the Services
To integration, PMS, calendar, telecommunications, email, messaging,
analytics, and AI providers selected or approved for the applicable
Services
To professional advisers, such as attorneys, accountants, insurers,
and auditors, subject to appropriate confidentiality obligations
In connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction
When reasonably necessary to protect the rights, property, safety, or security of MTS, our customers, users, or others
When required by law, legal process, government request, or court or regulatory order
With your direction or authorization
MTS requires service providers to protect information in a manner
appropriate to their role and applicable contractual requirements.
Third-party providers may have their own privacy practices, terms, and
security responsibilities. MTS is not responsible for a third party’s
independent privacy practices, outage, security incident, or failure to
comply with its own obligations.
We do not sell personal information for monetary consideration. We do
not share personal information for cross-context behavioral advertising
where prohibited by applicable law.
6. Cookies and Similar Technologies
MTS may use cookies, log files, and similar technologies to
keep the website functioning, remember preferences, understand traffic,
improve performance, and protect the website.
You may be able to control cookies through your browser settings or
through a cookie-control tool provided on the website. Disabling certain
cookies may affect website functionality. Where required by law, MTS
will request consent before using non-essential cookies or similar
technologies.
7. Data Retention and Deletion
We retain information for as long as reasonably necessary for the
purposes described in this Privacy Policy, to provide the Services,
maintain business and financial records, resolve disputes, enforce
agreements, protect security, and comply with legal, regulatory,
contractual, or professional obligations.
For information processed on behalf of a dental-practice customer,
the customer generally determines the applicable retention period
through its instructions and the applicable agreement. After
termination, MTS will return or delete customer data within a reasonable
period where required by the applicable agreement, subject to legal
obligations, routine backups, disaster-recovery systems, security and
audit records, legitimate dispute needs, and information that has been
aggregated or de-identified.
8. Security
MTS maintains reasonable administrative, technical, and
organizational safeguards appropriate to the nature of the information
and the Services. Safeguards may include access controls,
authentication, monitoring, secure configuration, vendor review, and
procedures for responding to security incidents.
No website, AI system, internet-connected service, telecommunications
network, or third-party integration can be guaranteed to be completely
secure. You should use appropriate caution when transmitting information
and notify MTS promptly if you suspect unauthorized access or a
security issue.
If MTS confirms a security incident involving information subject to a
BAA or other data-processing agreement, MTS will provide notice and
cooperation as required by applicable law and that agreement.
9. Your Privacy Choices and Rights
Depending on where you live and the circumstances of the processing,
you may have rights to request access to, correction of, deletion of, or
information about personal information we maintain about you. You may
also have rights to opt out of certain communications or processing
activities.
To submit a privacy request, contact us using the information in
Section 13. We may need to verify your identity and authority before
completing a request. We may decline or limit a request where permitted
or required by law, including where responding would compromise another
person’s privacy, security, legal rights, or confidential information.
If you are a patient or contact of a dental practice using MTS, send
your request first to that practice. MTS may refer the request to the
practice because the practice controls the relevant patient information.
You may unsubscribe from promotional email communications by using
the unsubscribe link in the message. Service-related, transactional,
security, and account communications may continue when necessary.
10. Children’s Privacy
The website and Services are intended for businesses and are not
directed to children under 13. MTS does not knowingly collect personal
information directly from children under 13. If you believe a child has
provided personal information to MTS, contact us so we can evaluate and
delete it where appropriate.
11. Third-Party Websites and Services
The website or Services may contain links to third-party websites,
platforms, or services. MTS does not control those third parties and is
not responsible for their content, privacy practices, security, or
terms. Review the applicable third party’s policies before providing
information or using its services.
12. Changes to This Privacy Policy
MTS may update this Privacy Policy from time to time. The “Last
Updated” date indicates when the policy was most recently revised. If we
make a material change, we may provide notice through the website, by
email, or by another reasonable method. Your continued use of the
website or Services after an updated policy becomes effective means the
updated policy applies to future activities, subject to applicable law
and any more specific written agreement.

14. Relationship to the Terms of Service
This Privacy Policy describes information practices. The Terms of Service govern the commercial relationship for the Services, including scope,
customer responsibilities, healthcare-data agreements, liability
provisions, and dispute resolution.
To the extent permitted by law, disputes concerning this Privacy
Policy or the Services will be handled under the arbitration and
dispute-resolution provisions in the Terms of Service. The merits of
covered disputes will be resolved through confidential, binding,
individual arbitration, subject to the limited court assistance allowed
by those Terms and applicable law.
